Adding Employee Time from the Task Scheduler

The Task Scheduler lets you record actual time worked without leaving the schedule view. Because Kudurru Stone already knows the employee, project, task, and date from the scheduled item, most of the form is pre-filled for you — you just supply the hours and any additional details.

Overview

Each scheduled item on the Task Scheduler grid has a wrench icon that opens a context menu. From that menu, Add Time loads a time entry form inside a modal. The form inherits employee, project, task, and date from the scheduled item, so entry is fast. You can also log time for additional crew members assigned to the same schedule in a single step.


Opening the Add Time Form

  1. On the Task Scheduler, locate the scheduled item for the employee and date you want to record time against.
  2. Click the wrench icon on that item. A context menu appears.
  3. Click Add Time.
  4. The Add Time form opens in a modal, pre-filled with the employee, project, task, and scheduled date.

Fields

The following fields are read-only — Kudurru Stone fills them from the scheduled item:

The following fields you fill in:

Field Notes
Input Method Required. Choose Hours Worked, Start Timer, or Start/End Time — same as the standard time entry form.
Hours Worked Required when using Hours Worked. Enter as a decimal (e.g., 1.5).
Start Time Required when using Start Timer.
Start / End Time Required when using Start/End Time. Kudurru calculates hours from the range.
Billable Defaults to checked. Uncheck for non-billable work.
Title Dropdown. Pre-set from the employee's default title; can be changed for this entry.
Activity Code Optional. Classifies the type of work performed.
Task Status Dropdown. Update the task's current status if it changed.
Notes Optional. Up to 2,000 characters.
QuickBooks Fields Only appear if your account is configured for QB or QBO sync.

Input Methods

Hours Worked — Enter a decimal number directly. Best for after-the-fact entry.

Start Timer — Enter a start time. Kudurru records the timer start and calculates hours when saved.

Start / End Time — Enter a start and end time. Kudurru calculates the duration automatically.


Adding Time for Additional Crew Members

If other employees are assigned to the same scheduled item, they appear in an Extra Users section at the bottom of the form. For each:

  • Check the box next to their name to include them in this time entry.
  • Set their Billable status, Title, and Activity Code independently.

This lets you log time for an entire crew from a single form submission.


Saving

  • Save — Saves the time entry (and any included extra users) and closes the pop up. The scheduler refreshes to reflect the logged time.
  • Add Equipment — Saves the time entry and navigates to the edit view where you can attach equipment, expenses, or per diem records.

Tips

  • The wrench menu has other actions beyond Add Time — including Edit, Copy, Delete, and Mark Complete. Be sure to click Add Time specifically to log hours.
  • Task Status updates made here apply to the task itself, not just the time entry. If the work is done, update the status before saving.
  • If your crew worked the same schedule, use the Extra Users section rather than opening the form multiple times — it saves every included employee in one submission.
  • QuickBooks fields only appear if your account is configured for QB sync. If you expect them and they are missing, contact your administrator.
  • The Add Time form does not support per diem from the scheduler modal. For per diem claims, use the standard Employee Time → New Time Entry form instead.
