Creating a New Quote

This article explains how to create a new quote in Kudurru Stone and what happens during the quote creation process. It covers the fields on the New Quote form, automatic quote number suggestions, default quote status, client account standing alerts, and information inherited from linked projects or clients. It also explains what happens after saving, including how to complete the quote on the Quote Edit page and when to apply a quote template.

 

Opening the New Quote Form

There are a few ways to start a new quote:

  • Go to Quotes in the main navigation and click New Quote
  • Open a Client record and click New Quote from there — the client will be pre-selected
  • Open a Project and create a quote from there — the client, project, and type will all be pre-filled

New Quote Form Fields

Field Required Notes
Client Yes Searchable dropdown — type to find the client. Changing the client reloads the project list below.
Quote Number Yes Auto-calculated as the next number in your sequence. You can override it, but numbers must be unique within your account.
Status Yes Pre-set to your default quote status. Change it here if this quote should start in a different stage.
Project Type No Categorizes the quote (e.g., Property Survey, Topo, Const Stakeout). Carries over to the project if the quote converts.
Quote Type No Helpful to differentiate from an initial quote, change order or additional services
For Project No Links this quote to an existing project on the selected client. The project list populates automatically after you pick a client.

What Happens Automatically

Account standing check. If the selected client has an account standing issue (e.g., On Hold or Collections), an alert displays on the form. You can still create the quote, but the warning ensures your team is aware before proceeding.

Quote number suggestion. Kudurru Stone calculates the next available quote number in your sequence and pre-fills it. Click Last 10 Quote Numbers to see recently used numbers if you need to verify the format or sequence before saving.

Default status. The status field pre-populates with whichever quote status has been marked as the default for new quotes in your settings. See Quote Statuses if you need to change which status that is.

Inherited from the linked project. If you select a For Project, Kudurru Stone automatically carries over several fields from that project to the new quote:

  • Service address
  • Client contact
  • Property details (plat/deed book, tax parcel, subdivision, township)
  • Project manager assignment

Inherited from the client. If the client has a default payment term set on their record, it is applied to the new quote automatically.


Saving and What Comes Next

Click Create to save. Kudurru creates the quote record and immediately takes you to the Quote Edit page where you complete the full details.

The edit page is organized into tabs:

Using a Template

Quote templates are not applied during creation — they are applied from the edit page after the quote is created. On the General tab, click Apply Template to load a template's pre-configured fields, line items, and tasks into the quote in one step.

Templates can pre-fill description, deliverables, memo, payment terms, project manager, and a full set of line items and tasks. If your account has client-specific rate schedules configured, those rates are applied automatically when the template loads.

Tips

  • Link to a project when one already exists. Connecting a quote to a project saves re-entering address and property data, and keeps all quotes related to that project organized in one place.
  • Don't overthink the quote number. The auto-calculated number is fine in most cases. Override it only if you have a specific numbering format or need to match an external reference.
  • Check account standing before sending. If the alert fires on client selection, resolve the standing issue or get manager approval before sending the quote to the client.
  • Apply a template early. If you use templates, apply one right after landing on the edit page — before filling in any other fields — since applying a template can overwrite description, terms, and other fields you may have already entered.
