Emailing a Quote as a PDF - No E-Signature
Kudurru Stone can generate a quote PDF and send it to a client contact without leaving the quote edit page. The email arrives in the client's inbox with the PDF attached. This flow uses your configured email templates for the subject and body, and your saved quote PDF layouts for the document itself.
Step 1: Open the Advanced Setup Modal
On the quote edit page, click the Print to PDF dropdown button. From the menu, click E-Signature / Advanced Setup.
The Report Selector modal opens.
Step 2: Select a Layout and Check Email as PDF
In the Report Selector modal:
- Select a layout from the dropdown. This controls the appearance of the PDF — your logo, column arrangement, terms block, and so on. If you only have one layout, it will be pre-selected. See Quote PDF Layouts for details on creating and managing layouts.
- Check the Email as PDF checkbox. When you check this, the Save to Files checkbox is automatically checked as well. This is expected — Kudurru saves the PDF to the quote's file record before attaching it to the email.
- Click Create.
Kudurru Stone generates the PDF in the background using the selected layout and your quote data. Once the PDF is ready, the Report Selector modal closes automatically and the email composition window opens.
Step 3: Compose and Send the Email
The email composition window has three fields:
| Field | Notes |
|---|---|
| Template Name | Select an email template from the dropdown. The template controls the email subject line and body text. Templates are managed under your email settings. |
| Select Contact | Choose which client contact to send the email to. The dropdown is pre-populated with contacts on file for this client. |
| File | Displays the filename of the PDF that will be attached. This is read-only — the PDF was already generated in Step 2. |
You will need to setup your Email Account within Kudurru Stone for this functionality.
Once you have selected a template and a contact, click Send Email. Kudurru Stone sends the email with the PDF attached and logs the send. A confirmation message appears and the window closes.
What the Client Receives
The client contact receives an email with:
- The subject and body from the selected template, merged with their contact information
- The quote PDF as an attachment
The PDF is also saved to the quote's files, so there is a copy on the quote record after sending.
Tips
- If the contact you need to send to is not in the dropdown, add them as a client contact first. The dropdown only shows contacts already on file for this client. See Client Contacts.
- Email templates let you maintain consistent language across all quote emails — a professional greeting, your terms summary, a call to action. Set up at least one template before using this feature. See Email Templates.
- If you want to review the PDF before sending, use the quick print option first (click the layout name directly in the Print to PDF dropdown without going through Advanced Setup). Once you are happy with the output, return to Advanced Setup to send it.
- The PDF is saved to the quote's files every time you use this flow. If you send multiple times, each send creates a new file entry on the quote.
