Changing a User's Email Address

In Kudurru Stone, a user's email address is also their sign-in ID. Changing it on the user record changes the address they log in with, the address system notifications are sent to, and the address shown on the user list. It is an administrator action, done from Manage Users.

Where This Is Done

There is no self-service option for a user to change their own email address from their profile. All email address changes are made by an administrator on the Edit User page.

Go to Settings (the gear icon in the top navigation) and choose Manage Users. The user list shows every active and inactive user in your company, with columns for Email, Full Name, Active, Role, User Type, and Map Color. Use the search boxes under the column headers to find the user.

Click the pencil icon in the Actions column for that user to open the Edit User page.

What the Email Address Controls

Item Notes
Sign-in ID The user logs in with this address. The old address stops working as soon as you save.
Password Not affected. The existing password continues to work with the new address.
Email confirmation Not reset. The user does not have to re-confirm, and no confirmation email is sent when you change the address.
Notifications Kudurru Stone notification emails go to the address on the user record.
Display The new address replaces the old one on the user list and anywhere the user's email is shown.
Connected email accounts Not affected. Gmail and Microsoft accounts connected under Email are authorized separately and keep their own address.

How to Change the Address

  1. Go to Settings > Manage Users.
  2. Find the user and click the pencil icon.
  3. Edit the Email field at the top of the Edit User form.
  4. Scroll to the bottom and save.

You are returned to the user list, where the new address appears immediately.

The Edit User form saves every field on the page at once, not just the email address. If you opened the form only to change the email, do not adjust the other fields (user type, roles, manager, pay rate, start date) unless you intend those changes to save as well.

Email Required. Must be a valid email address format. Validation runs both in the browser and on the server.
Uniqueness The address must not already be in use by any other user account.

Duplicate Address Guard

Kudurru Stone enforces one account per email address. If you enter an address that is already assigned to another user, the save fails with an error page rather than a message on the form, and the change is not applied. Check the Manage Users list first and confirm the address is not already taken.

This also applies to deleted users. Deleting a user in Kudurru Stone marks the account inactive and hidden rather than removing the row, so a deleted user still holds their email address. If you need to reuse an address from a former employee, contact Kudurru Stone Support.

Changing Your Own Email Address

You can edit your own record, but your current session still carries your old sign-in identity until you sign out. After changing your own address, log out and log back in with the new address so the application picks up the change everywhere.

Reassigning a Seat vs. Changing an Address

Changing the email address on an existing user record keeps all of that user's history attached to it - time entries, tasks, assignments, notes, and pay rate history. That is what you want when a person's address changes, for example after a name change or a domain change.

It is not what you want when one person leaves and another replaces them. In that case, deactivate or delete the departing user and create a new user for the replacement. Reusing the record would attribute the former employee's history to the new person.

Tips

  • If the user reports they cannot log in after the change, verify the address on the user list matches exactly what they are typing, and check that the Active flag is still set to Yes.
  • After changing an address, review Manage Users > User Notifications - Email to confirm the user is still set up to receive the notifications they should be getting.
  • Do not use an email address change as a way to hand an account to a different person. Create a new user instead so reporting stays accurate.
