Rate Schedule Items and Client Pricing

Rate schedule items are your reusable service and deliverable library. Each item has a title, description, and one or more prices. When you add a line item to a quote, you can pull from this library to pre-fill the description and price instantly, rather than typing everything from scratch. Items can carry a single default price used for all clients, or individual client-specific prices that override the default when that client is on the quote.

How It Fits Together

The system has two layers:

  • Rate Schedule Item — the "what." A named service with a title, description, and optional category. Example: "Site Survey," "Installation Labor," "Travel Fee."
  • Rate Schedule (price record) — the "how much." Each item can have one default price (no client assigned) and any number of client-specific prices. Kudurru Stone uses the client-specific price automatically when that client appears on a quote.

Categories

Items can be grouped into categories to keep the library organized and to make the rate schedule dropdown on quotes easier to navigate.

To add a category: On the Rate Schedule Items index page, use the category management section. Enter a name and save. The save is handled without a full page reload.

To delete a category: Click delete next to the category name. Kudurru unassigns the category from all items in it (they become uncategorized) and removes the category. Items themselves are not deleted.


Rate Schedule Item Fields

Field Notes
Title Short label for the item. Appears in the quote dropdown and on line items.
Description Full description of the service. Supports rich text if enabled for your account. Pre-fills the line item description on a quote.
Category Optional grouping. Items appear grouped by category in the quote dropdown.

Adding a Rate Schedule Item

Navigate to Rate Schedule Items > New Item (or the equivalent button on the index page).

  1. Enter a Title, Description, and optional Category.
  2. Save. Kudurru Stone creates the item and takes you to the Edit page, where you add prices.

You can also create an item directly from the quote edit page using the quick-create option on the "Add from Rate Schedule" modal. This creates the item and a default price in one step without leaving the quote.


Setting Prices on an Item

Open a Rate Schedule Item to edit it. The lower section of the edit page is a pricing table where you manage all price records for that item.

To add a default price:
Add a row with no client assigned. This price applies to all quotes where no client-specific price exists. Each item can have only one default price.

To add a client-specific price:
Add a row and use the client search field to assign it to a specific client. Enter the unit cost. When a quote is created for that client, Kudurru Stone selects this price automatically in the rate schedule dropdown.

To edit a price: Change the unit cost directly in the row. Save the item to commit changes.

To remove a price: Click the delete icon on the row. The row is marked for removal and disappears. Save the item to commit the deletion.

There is no limit on the number of client-specific prices per item.


Editing a Rate Schedule Item

Open the item from the index list. Update the Title, Description, Category, or any price rows, then save. Changes take effect immediately on new quotes. Quotes already created are not retroactively updated.


Copying an Item

On the index page, click Copy next to any item. Kudurru Stone duplicates the item (title becomes "Original Title (Copy)") and all of its price records. You are taken to the edit page for the new copy. Useful for creating similar services with slightly different pricing.


Deleting a Rate Schedule Item

On the index page, click Delete next to an item. Kudurru Stone checks whether the item is used on any quote templates before deleting.

  • If the item is used on a quote template: deletion is blocked. You will see a message indicating which templates are affected. Remove the item from those templates first, then delete.
  • If the item is not used on any template: Kudurru deletes all price records for the item and then removes the item.

Note: deleting an item does not affect quotes already created from it. Those line items retain the description and price that was copied at the time.


Viewing Pricing by Client (Client Rate Schedules)

The Client Rate Schedules view shows all rate schedule price records assigned to a specific client in one place. You can reach it from a client's record or from the rate schedule item edit page via the "Complete Client Rate Schedule" link that appears after you select a client on a price row.

This view is read-oriented — it lists each item and the client's assigned unit cost, with a link to edit each item. To create a new client-specific price from this view, use the Create button, which opens a form to pick an item and enter a cost for that client.

Use this view when you want to audit all pricing for a single client, or when a client asks for a rate sheet and you want to confirm what Kudurru will use on their quotes.


How Rate Schedule Items Appear on Quotes

On the quote edit page, when you click Add from Rate Schedule, Kudurru Stone builds a dropdown grouped by category. For each item, it selects the client-specific price if one exists for the quote's client, or the default price otherwise. Selecting an item pre-fills the line item's title, description, and unit price. You can edit any field after it is inserted.


Tips

  • Give items specific, client-facing titles. The title is what can appear on the printed quote.
  • Set a default price on every item even if most clients have custom rates. The default acts as a fallback and makes the item available on quotes before client-specific pricing is added.
  • Use categories to match how your team thinks about services — by trade, phase, or service type. The grouping carries through to the quote dropdown and makes selection faster.
  • If you have a client with significantly different pricing across the board, build out their client-specific rates before creating their first quote. Kudurru Stone picks the right price automatically once the rates exist.
  • Items used on quote templates cannot be deleted. If you need to retire an item, remove it from templates first, or replace it with a copied version.
