How to Manage your Quote Status

Quote Statuses help your team track where each quote stands in your estimating and sales workflow. This article explains Kudurru Stone’s default quote statuses, how to add, edit, reorder, and delete statuses, and how status settings control DigiBoard visibility, card display, default quote assignment, and notifications. It also includes practical tips for designing a clear, useful status list that matches your team’s real workflow.

Quote Statuses track where a quote stands in your sales and estimation workflow from first draft through approval, rejection, or any stage in between. Unlike a simple dropdown label, each status in Kudurru Stone carries a set of flags that control how it behaves: whether it appears on the DigiBoard, how quotes are displayed there, whether a notification fires when a quote enters it, and whether it's the default for all new quotes.

Getting your statuses set up thoughtfully pays off across your whole team — your estimators know what needs attention, your managers see pipeline at a glance, and your reports reflect reality.


Your Default Starting Statuses

When your account is created, Kudurru Stone sets up a standard status list to get you going:

Status Suggested purpose
Not Completed Quote is in progress, not ready to send
Needs Estimate Handed off for pricing
Needs Review Ready for internal review before sending
Sent to Client Delivered to the client, awaiting response
Approved Client has accepted
Rejected Client declined
Completed Quote is 

You are not locked into these. Rename them, delete ones you don't need, add new ones, and reorder them to match how your team actually works.


Managing Quote Statuses

Navigate to Settings → Quote Statuses to view, add, edit, reorder, and remove statuses.

The list shows all statuses in their current order, along with indicator icons for each flag that is enabled. You can drag rows up and down to reorder, or use the up/down arrows on each row.


Status Fields

Each status has one text field and four behavioral flags:

Description

The name of the status as it appears throughout Kudurru Stone on quote records, the DigiBoard, filters, and reports. Limited to 20 characters, so keep names concise.

Default Status for New Quotes

When checked, every new quote is automatically assigned this status. Only one status can hold this flag at a time — setting it on a new status removes it from whichever status had it before.

Set this to whichever stage a quote enters when it is first created. Not Completed or Needs Estimate are common choices.

DigiBoard

When checked, this status appears as a column on the Quote DigiBoard — the Kanban-style view of your quote pipeline. Statuses without this flag are still valid statuses but won't have a column on the board.

You don't need every status on the DigiBoard. Statuses like Completed or Rejected are often left off so the board stays focused on active pipeline.

Show as Cards on DigiBoard

When checked, quotes in this status display as card tiles inside their DigiBoard column. When unchecked, they display as a compact list. This flag only has effect when DigiBoard is also enabled.

Use cards for stages where you want more visual detail at a glance — like Sent to Client or Needs Review. Use list view for high-volume stages where you just need a count and quick scan.

Send Notification

When checked, Kudurru Stone sends a notification to relevant users whenever a quote is moved into this status. Useful for statuses that signal something needs action — like Needs Review (notify a manager) or Approved (notify the estimator).


Adding a New Status

  1. Go to Settings → Quote Statuses.
  2. Click New.
  3. Enter a Description.
  4. Check any flags that apply (DigiBoardShow as CardsSend Notification).
  5. Click Save.

To set the new status as the default for new quotes, edit it after saving and check Default Status for New Quotes.


Editing a Status

  1. Click Edit next to the status.
  2. Update the description or any flags.
  3. Click Save.

Changes take effect immediately across all quotes using that status.


Reordering Statuses

Status order controls how columns appear left to right on the DigiBoard and how statuses sort in dropdowns. Use the up/down arrows on the index page to move a status, or drag and drop rows into position.

Arrange them in the natural order of your workflow — a quote typically moves left to right across the DigiBoard as it progresses.


Deleting a Status

Click Delete next to a status and confirm. If any quotes are currently assigned to that status, Kudurru Stone will block the deletion and show you a list of the affected quotes with links to edit them. Reassign those quotes to a different status first, then return and delete.


Designing a Good Status List

A few principles that make the status system work well:

Match your real workflow. If your team uses phrases like "waiting on pricing" or "out for signature," those should be your status names — not generic terms nobody uses in conversation.

Keep the DigiBoard focused on active pipeline. Put terminal statuses (ApprovedRejectedCompleted) off the DigiBoard, or at the far right as a done column. A board full of closed quotes obscures what actually needs attention.

Use notifications sparingly. Notifications on every status transition create noise. Reserve the Send Notification flag for stages that genuinely require someone to take action.

One clear default. The default status should be the earliest stage in your workflow — the point where a quote is just getting started. This ensures every new quote lands in the right column on the DigiBoard automatically.


Where Quote Statuses Appear

  • Quote records — Status dropdown on every quote, with an optional status reason note
  • Quote DigiBoard — Kanban columns and cards (controlled by DigiBoard flags)
  • Quote Dashboard — Quote totals grouped and charted by status
  • Reports — Status included as a field in quote exports
