Manage your Task List

The Task List is your companies library of reusable tasks. When you build out a project or a quote, you subdivide that project into these individual tasks. Each task can carry a billable rate, which Kudurru Stone can use when your account is set to Bill by Task.

How the Task List Fits In

Tasks flow through Kudurru i this order:

  1. Task List — you define tasks here, at the account level.
  2. Projects / Quotes — tasks from the library are added to specific projects or quotes, becoming project tasks.
  3. Time Entry — employees log time against a project task.
  4. Invoicing — if you bill by task, the rate on the original Task List item determines what gets charged.

This means the Task List is foundational. A well-maintained list with accurate rates keeps your quoting, project setup, and billing consistent across the board.


Managing the Task List

Navigate to Settings → Task List to view, add, edit, or remove tasks.

Fields on each task:

  • Description (required, up to 50 characters) — The name of the task as it appears in dropdowns, projects, quotes, and reports.
  • Type (edit only) — Associates the task with a schedule or work type category. Used for organizing and filtering.
  • Billable Rate (optional, $/hr) — The hourly rate billed to clients for time logged against this task. Only relevant if your account bills by Task.

Adding a New Task

  1. Go to Settings → Task List.
  2. Click Create New.
  3. Enter a Description.
  4. Click Save.

To add a billable rate or assign a type, edit the task after saving — those fields are available on the edit screen.


Editing a Task

  1. Click Edit next to the task.
  2. Update the description, type, or billable rate.
  3. Click Save.

Rate changes affect future invoice calculations. Time already invoiced is not retroactively updated.


Deleting a Task

Click Delete next to a task to remove it. If the task has been added to any project, Kudurru will warn you that it is in use and prevent deletion. Deactivation is not available for tasks — if a task is no longer relevant, simply stop adding it to new projects.


Task Billing and Rates

When your account is set to Bill by Task, Kudurru traces each time entry back to its project task and then to the Task List item to find the billable rate:

Time Entry → Project Task → Task List item → Billable Rate 

If a time entry is not linked to a project task, or the task has no rate set, the billable amount for that entry will be zero.


Tips

Set rates before adding tasks to quotes. When you add a task to a quote, Kudurru automatically populates the rate field from the Task List. If the rate is blank at that point you will need to enter it manually on the quote.

Keep descriptions clear and specific. Task descriptions can appear on invoices and in client-facing quotes, so names like Foundation Inspection are more professional than Task 4 or FI.

Do not duplicate tasks for different rates. If the same type of work is billed differently for different clients, use Bill by Activity Code with per-client rate overrides rather than creating multiple near-identical tasks. See Activity Codes.
