Managing File Types

File types are labels you define to categorize files uploaded to projects and client records. Examples include Contract, Drawing, Photo, Permit, and Insurance. Assigning a type when uploading a file makes it easier to identify what a document is at a glance and to filter files across records.

Where to Find File Types

Navigate to Settings → File Types from the top navigation menu.


File Type Fields

File types have one field:

Field Notes
Name The label that appears in file type dropdowns throughout the app. Required, max 50 characters.

File types are shared across project files and client files. They are not available on quote files.


Adding a File Type

On the File Types index page, click New. Enter a name and save. The new type is immediately available in the file type dropdown when uploading or editing files.


Editing a File Type

Click the edit icon next to any file type. Update the name and save. The change takes effect everywhere the type is currently in use.


Deleting a File Type

Click the delete icon next to a file type. Kudurru checks whether the type is assigned to any project files before allowing deletion.

  • If the type is in use on project files: deletion is blocked. Reassign or remove the type from those files first.
  • If not in use: a confirmation prompt appears. Confirm to delete permanently.

Role Permissions

Each file type has a permissions section on its edit page where you can assign roles. The available roles are Basic I, Basic II, Bookkeeper, and Manager. Admin users are always excluded from restrictions.

To add a role: select it from the dropdown on the edit page and click Add Role. The role is saved immediately without submitting the form. To remove a role: click the remove icon next to it.


Tips

  • Keep type names short and consistent — they appear in dropdowns and file lists throughout the app, so clarity matters more than detail. "Drawing" is better than "Engineering Drawing Files."
  • Agree on a standard set of types before your team starts uploading files. Retroactively retyping files is tedious.
  • If a file doesn't fit any type, leaving the type blank is fine. Types are optional on upload.
