Managing Project Files
Project files keep all documents related to a job — drawings, photos, contracts, permits, and anything else — attached directly to the project record. Files are stored in folders you create, accessible to all users in your organization who have access to the project.
Accessing Project Files
Open a project and go to the Files tab on the project edit page. The file manager opens with a folder tree on the left and a file list on the right. Clicking a folder in the tree filters the file list to show only files in that folder.
Uploading Files
Click Upload (or the equivalent upload button) to open the upload modal. You can drag files into the modal or use the file picker to select them. Multiple files can be uploaded at once.
Before uploading, fill in:
| Field | Notes |
|---|---|
| File Name / Description | The display name for the file as it will appear in the list. Required. |
| File Type | Optional category for the file (e.g., Contract, Drawing, Insurance). Used for filtering and reporting. |
Files upload directly to secure cloud storage. A progress indicator shows upload status when sending multiple files. Once uploaded, files appear immediately in the file list.
Folder Management
Folders let you organize files within a project however your workflow requires. The folder tree supports nested subfolders — you can create folders inside folders to any depth.
To create a folder: Right-click an existing folder in the tree (or use the folder menu) and select New Subfolder. Enter a name.
To rename a folder: Right-click the folder and select Rename.
To delete a folder: Right-click the folder and select Delete.
Important: Deleting a folder permanently deletes all files inside it, including files in any subfolders. This cannot be undone. Move any files you want to keep before deleting a folder.
File Operations
Each file in the list has an actions menu with the following options:
Download
Downloads the file directly from cloud storage. You can also select multiple files using the checkboxes and download them all as a single ZIP file.
Rename
Updates the file's display name. The underlying stored file is also renamed in cloud storage.
Move to Folder
Moves the file to a different folder within the same project.
Change File Type
Updates the file's category without changing the file itself.
Delete
Permanently removes the file. There is no recycle bin — deletion cannot be undone.
Searching Files
Use the search field in the file panel to find files by name. The search runs across all folders in the project, so you do not need to know which folder a file is in.
File Types
File types are categories you define to classify documents. Examples: Contract, Drawing, Photo, Permit, Insurance. Assigning a type to a file makes it easier to filter and report across projects.
File Types also allow you to
File types are managed in your account settings. See: File Types
Client-Visible Files
If your account uses the Client Portal, a Client Visible folder is automatically created on the project the first time a file is shared with a portal client. Inside it, Kudurru Stone creates two subfolders:
- To Client — files your team uploads for the client to view and download
- From Client — files the client uploads through the portal
These folders are managed through the Client Portal file sharing workflow. Do not rename or delete them if the portal is in use for that project.

Tips
- Set up a standard folder structure before uploading files. Consistent folder names across projects (e.g., Drawings, Photos, Contracts, Permits) make it easier to find things later and can be templated using Folder Templates.
- Use File Types in addition to folders for a second layer of organization — especially useful when generating reports that filter by file type across multiple projects.
- When uploading multiple files with the same type and description (e.g., a batch of site photos), you can select them all in the upload modal and they will each be saved with the same description and type.
- Bulk download zips the selected files into a single archive, which is useful when sending a set of documents to a subcontractor or client outside the portal.
