Quick Edit an Employee Time Entry
Time entries can be edited from two places — the time entry list and the weekly timesheet. Both open the same quick edit popup, which covers the most common changes. For less frequent edits involving per diem, expenses, equipment, or file attachments, a full edit form is available from within the modal. Only Open time entries can be edited. Once a time entry is submitted for approval, approved, or billed, it is locked. Employees can edit their own open entries. Managers, bookkeepers, and admins can edit any entry.
Accessing the Edit Modal
From the time entry list (Employee Time → Index): click the pencil icon on any row.
From the weekly timesheet (Employee Time → Weekly Timesheet): click the pencil icon on any hours cell that shows logged time.
Both open the quick edit modal.
Quick Edit Modal
The modal lets you update the most common fields without leaving the list or timesheet view.

Modal Buttons
Save
Saves all changes and closes the modal. Returns you to the list or timesheet you were on.
Save & Switch
Saves the time entry and immediately opens the timer start modal, pre-filled with the stopped time of the entry you just saved. Use this when you are moving from one task to another and want to start the clock on the next piece of work without returning to a list. It is designed for continuous time tracking through a workday.
Full Edit
Saves nothing — navigates to the full edit form for this time entry. Use this when you need to edit fields not available in the modal (see below).
Delete Time
Permanently deletes the entry after confirmation. Only available when the entry is not locked.
Cancel
Closes the modal without saving any changes.
Full Edit Form
The full edit form is a separate page with all fields, including everything in the quick edit modal plus:
- Employee — change which employee the entry is logged for (managers and admins only)
- Per Diem — meals, lodging, corporate card flag, billable flag, and project allocation percentages
- Files and Photos — upload documents or photos attached to this time entry
- Equipment Used — record equipment used on the job
- Expenses — log expenses associated with this entry
Click Save to commit changes and return to the time list. Click Cancel to discard and go back.
When Entries Are Locked
An entry is locked and cannot be edited when its status is Submitted, Approved, or Billed. Locked entries are read-only in both the modal and full edit form — the Save button is not shown.
If you need to edit a locked entry, a manager or admin must first un-submit or un-approve it, or void the invoice if it has been billed.
Tips
- Use the quick edit modal for day-to-day corrections — wrong hours, wrong task, missing notes. It is faster than navigating to the full form.
- Use Save & Switch when tracking time sequentially through a day. It eliminates the step of going back to the list between tasks.
- If you need to correct a task, the quick edit modal lets you change client, project, and task in one place — you do not need the full form for that.
- The full edit form is primarily needed for per diem and expense work, which is covered in a separate article.
