Quote Line Items

Quote line items are the individual billable entries that make up a quote — each one captures what you're providing, how many units, and at what price. Kudurru Stone calculates line totals and the overall quote total automatically as you enter or change values. Line items also serve as the anchor for quote tasks, keeping deliverables and pricing connected in one place.

Where to Find Line Items

Open any quote and click Edit. The line items section is on the main edit page, below the quote header fields. Each line appears as a row in a table with columns for billing type, description, quantity, unit price, line total, and retainer.


Line Item Fields

Field Notes
Billing Type Dropdown tied to your Billing Methods list. Optional but useful for reporting.
Title Short label for the line (max 100 characters). Can appear on client-facing documents.
Description Longer explanation of the item. Supports rich text if the full editor is enabled.
Qty Quantity. Combined with Unit Price to calculate the line total.
Unit Price Price per unit.
Line Total Calculated automatically (Qty × Unit Price). Read-only.
Retainer Optional retainer amount for this specific line. Separate from the quote-level retainer.

The quote-level Discount and Tax Rate fields apply across all line items and update the grand total automatically.


Adding a Line Item

There are three ways to add a line item:

1. Add a blank line
Click the Add Line Item button (labeled "New Line Item" or similar). A blank row is inserted immediately. Fill in the fields directly in the row — Kudurru Stone saves each field automatically when you move to the next one (on field change, no separate save button).

2. Add from a Rate Schedule
Click Add from Rate Schedule. Select a rate schedule entry. Kudurru Stone pre-fills the title, description, and unit price from that schedule. Quantity defaults to 1. You can edit any field after it is inserted.

3. Add from a Quote Template
If your quote has a template applied, you can import all template line items at once using the template options. This copies lines (and optionally tasks) in bulk. Useful for standardized project types.


Editing a Line Item

Click into any field in the row and type your changes. Kudurru Stone saves automatically when you leave the field — there is no per-row save button.

To use the rich text editor for the description: click the full editor button next to the description field. A modal opens with a formatted editor. Save from within the modal to write the formatted text back to the line.


Reordering Line Items

Drag any row by the grip handle (the three-line icon on the right side of the row) to change its position. Kudurru Stone saves the new display order automatically when you drop the row. Associated task rows move with their parent line.


Deleting a Line Item

Click the delete icon on the right side of the row. Kudurru Stone removes the line and all tasks attached to it before deletion. There is no separate confirmation for task removal — if the line has tasks, they are deleted along with it.

Note: If you have already invoiced against a line item, review the invoice before deleting the line. Kudurru Stone does not block deletion in that case, but the invoice history will no longer have a matching line.


How Totals Are Calculated

Kudurru Stone recalculates totals in real time as you type:

  1. Line total = Qty × Unit Price (updates immediately on each row)
  2. Subtotal = sum of all line totals
  3. Discount — applied as a percentage to the subtotal
  4. Tax — applied as a percentage after discount
  5. Grand total = subtotal − discount + tax

The quote-level Retainer can be set as a fixed dollar amount or a percentage of the subtotal.


Tips

  • Use the Title field as the short label that can appear on client documents, and put the detailed breakdown in Description.
  • Rate schedules are the fastest way to add pre-priced services consistently. Set them up under your rate schedule settings before building quotes.
  • Attach tasks to a line item (via the tasks row directly below each line) to connect billable items to the actual work scheduled on a project.
  • If a quote is converted to a project, line items and their associated tasks can carry over. Getting the line items right on the quote avoids cleanup later.
  • Drag-and-drop ordering affects how lines appear on the printed/PDF quote. Put the most important or summary lines first.
