Create a new Project
This article explains how to create a new project in Kudurru Stone and how projects connect to quotes, tasks, time, files, communications, and invoicing. It covers the required and optional fields on the New Project form, how linking an associated quote can automatically carry over address, budget, task, contact, due date, and payment term details, and how to add tasks during project creation. It also explains what happens after saving and provides tips for setting the right status, using project numbers consistently, and reducing duplicate data entry.
Opening the New Project Form
- Go to Projects in the main navigation and click New Project
- Open a Client record and start a project from there — the client will be pre-selected
- Open a Quote and convert it to a project — the client, type, and quote will be pre-linked
New Project Form Fields
Required Fields

You must also provide at least one of the following — or both:

| Project Number | Auto-calculated from your last project number. You can override it — numbers must be unique. Click Last 10 Project Numbers to see recent numbers if you need to check your format or sequence. |

Linking to a Quote
Selecting an Associated Quote is optional but highly recommended when the project originates from a quote. When a quote is linked:
- A Same as Quote button appears — click it to copy the quote number directly into the Project Number field
- Quote tasks load below with checkboxes so you can choose which to bring into the project
- On save, Kudurru Stone automatically carries the following from the quote into the project record:
- Service address and coordinates
- Property details (subdivision, lots, blocks, township, plat/deed book, tax parcel)
- Budget (calculated from quote line items)
- Project description
- Client contact
- Project manager assignment
- Payment terms
- Due date
- Department
This eliminates re-entering data you already captured during the quoting process.
Adding Tasks at Creation
You can seed the project with tasks right on the new project form — before you even hit Save. There are three ways:
From a linked quote — When you select an Associated Quote, quote tasks appear with checkboxes. Check the ones to include and they are added to the project on save, carrying over budget hours, budget amount, task notes, and due dates from the quote.
Individual tasks — Use the Available Tasks dropdown to pick tasks from your Task List one at a time. Each selected task is added to the table below.
Task groups — Use the Available Task Groups dropdown to add an entire group of tasks at once. All tasks in the group are appended to the table in one step.
Tasks added at creation are automatically assigned the first status in your status list (by order). You can update individual task statuses on the edit page.
You can also create a brand new task on the fly — select Create New Task from the Available Tasks dropdown to open a quick-create form without leaving the page.
Saving and What Comes Next
Click Save. Kudurru Stone creates the project and takes you to the Project Edit page to complete the full record.
The edit page is organized into tabs:

Tips
- Link to a quote whenever one exists. It saves significant re-entry and keeps your quote and project records connected for reporting.
- Seed with tasks upfront. Adding tasks at creation means your team can start logging time and the project appears fully structured on the Task DigiBoard right away.
- Check account standing before proceeding. If the client standing alert fires, resolve the issue or confirm approval before moving the project forward.
- Set the right status from the start. The status you pick controls whether the project appears on the DigiBoard, whether time can be logged to it, and whether it shows up in the scheduler. Choose a status that reflects where the work actually is.
- Use project numbers consistently. The auto-calculated number follows your existing format — only override it if you have a specific numbering reason, to avoid gaps or duplicates in your sequence.
