Sending a General Client Email from a Template
The Send Email page lets you select a saved template, choose one or more client contacts as recipients, and send personalized emails in a single step. Kudurru Stone resolves any merge fields in the template individually for each recipient before sending.
Before You Start
Two things must be in place before you can send:
- A saved email template. See Email Templates for how to create one.
- A connected email account. Kudurru Stone sends through your personal email account (Gmail, Outlook). See Email Accounts if yours is not set up yet.
How to Send an Email
- Navigate to Email Templates and open the Send Email page for the template you want to use, or access it directly from a client or project record.
- In the From dropdown, select the email account to send from. Your default account is preselected if one is set.
- Confirm or change the Template selection.
- In the Client field, type at least two characters to search for a client. Select the client from the results.
- Once a client is selected, the Contact dropdown populates with that client's contacts. Select a contact.
- Click Add. The contact appears in the recipients table.
- Repeat steps 5–6 to add additional recipients if needed.
- Click Send.
At least one contact must be in the recipients table before the Send button will work.
How Recipients Are Handled
Each contact in the recipients table receives a separate, individually personalized email. Kudurru Stone resolves the template's merge fields using that contact's own data — so if three contacts are listed, three separate emails go out, each addressed to their respective information.
If a merge field cannot be resolved for a contact (for example, a field that is blank on their record), Kudurru Stone substitutes an empty string for that placeholder. The email still sends.
If the Send Fails
- Account needs reconnecting — A Refresh Email Sign-In button will appear. Click it to re-authenticate your email account, then return and retry.
- Partial failures — If some recipients succeed and others fail, Kudurru Stone reports which failed and logs the error for each. Successful sends are not re-sent.
- No account in the dropdown — Your email account may be inactive. See Email Accounts.
Send History
Every send is logged automatically — the date, template used, client, contact, and whether the send succeeded or failed. You can review this history from the Email Log.
Tips
- If a client's contact does not appear in the dropdown after selecting the client, the contact likely has no email address on file. Add one in the Client Contacts record first.
- You can add multiple contacts from the same client — useful for sending the same message to a primary contact and a billing contact at once.
- Always confirm the correct From account is selected before sending, especially if you have more than one email account connected.
